The problem
It’s not until you become a business owner that you truly care about real profitability. After years of working in the agency environment and seeing the complacency that goes with time management (our account handlers are the biggest culprits), I hoped that somebody would invent a project management tool that would not only give us a true picture of our profitability, but also create a product people actually use day to day.

After using PROJECTminder now for 3 months, IRIS PROJECTminder asked if we would identify some benefits that PROJECTminder has delivered for us. An easy task...
- Firstly, both account handlers and designers now have a really efficient way of recording their hours on a job. That means every hour we spend on a client’s work, is automatically recorded on the job bag. Nothing slips through the net anymore.
- Jobs can now be billed, the moment they are completed. All the studio time, management time, job costs and even expenses are on the job bag and the invoice can be raised and sent in minutes. I estimate that we save approximately 4 days per month on billing alone.
- We now have a clearer view of which clients (and which type of clients) are the most profitable. It’s fascinating to see which clients sap the most management time and studio time. This information has allowed us to be more discerning about which types of clients we go after. I never expected PROJECTminder to be an effective new business tool.
- The business has billed 10% more in the last few months that was previously being missed via the manual system. Those little jobs like burning a file to CD or sending a client a jpg are now itemized and included on the invoice.
- Our debtor days have improved significantly as we are getting fewer queries on our invoices as PROJECTminder has eradicated almost all of the small errors that used to hold up payment. Also, invoices are going out on completion of a job. The end-of-the-month rush to invoice clients is now a thing of the past.
